Job Title: Executive Assistant

Salary:      $2,239.00 - $3,263.00 Monthly
                  $26,868.00 - $39,156.00 Annually

Job Type: Full-time

Location: City Hall - Killeen, Texas

Description
Performs a variety of routine and complex clerical and secretarial duties and administrative work in keeping official records, providing administrative support to the Human Resources Director and assisting in the administration of the standard operating policies and procedures of the Department. Maintains public relations with general public, public officials and other City Departments.

Examples of Duties:
Provides administrative support to the director, including compose, type and edit a variety of correspondence, reports, memoranda, and other material requiring judgment as to content, accuracy and completeness.

Performs routine clerical and administrative work in answering phones, receiving visitors for the Human Resources Director.

Prepares Purchase Orders and tracks budget expenditures. Handles receipts for purchases and reconciles budget reports on at least a monthly basis.

Establishes and maintains filing systems for the Department including electronic storage of documents as appropriate.

Prepares human resources data for activity reports; consolidates all departmental -weekly activity reports into a monthly report and a quarterly report; responsible for compiling, editing and typing the final report document to include a power point presentation of quarterly information.

Functions as office manager; ensures adequate supplies for staff consumable and non-consumable, orders supplies.

Maintains appointment calendar for HR Director and Assistant HR Director; makes travel arrangements for HR Director and staff.

Sorts, prioritizes mail (action, reading, signature/approval), and processes outgoing mail for the HR Director.

Typical Qualifications:
Graduation from high school or equivalent, and,

Two (2) years of related experience; or, any equivalent combination of related education and experience,

Must be able to type 50 wpm net. A RECENT TYPING TEST, TAKEN WITH THE LAST 12 MONTHS, MUST BE SUBMITTED WITH APPLICATION (INTERNET TESTS ARE NOT VALID).
